How to set up iCal sync for your vacation rental

A step by step guide to syncing your booking calendar across Airbnb, Vrbo, your own site, and metasearch engines like AllRoost.

If you list your vacation rental on more than one platform, you will eventually take a double booking. The guest who shows up second is not happy. Neither is the platform that asked you to honor the first booking.

The solution is iCal sync. Every modern booking platform publishes a public calendar feed in the iCalendar format (file extension .ics). When you point each platform at the others' feeds, blocked dates show up everywhere automatically. A booking on Airbnb on Tuesday means Vrbo can no longer take a booking for the same night by Wednesday.

This guide assumes you already have your property listed on at least two platforms. If you only have one, you do not need iCal yet.

How iCal sync actually works

Each platform exposes a unique URL for your property's calendar. The URL contains a long random token so others cannot guess it. When you give that URL to another platform, the other platform fetches it on a schedule (usually every 1 to 4 hours) and marks any dates appearing in that file as unavailable.

The timing matters. Airbnb checks every hour. Vrbo every 2 to 4. Most PMSes every hour. There is always a small window during which a double booking is possible. Setting your minimum advance notice to 1 day eliminates the window almost entirely.

Where to find your iCal URL on each platform

Airbnb: Listings → Your listing → Calendar → Availability settings → Sync calendars → Export calendar. Copy the URL. Looks like https://www.airbnb.com/calendar/ical/12345678.ics?s=...

Vrbo: Calendar → Reserve → Import/Export → Export Calendar. Copy the URL.

Booking.com: Calendar → Sync Calendars → Export. Copy the URL.

OwnerRez: Settings → Channel Manager → Calendar Sync. Each property has its own export URL.

Hostfully: Property → Calendar Sync → Export iCal.

Lodgify: Property → Channel Manager → iCal Export.

Where to import the URLs

For each platform that needs to know about bookings on the others, paste each iCal URL into the import section.

The pattern is: A imports B, B imports A, both import C, etc. Every platform should know about every other platform's bookings.

If you have 3 platforms, that's 6 import operations (3 platforms × 2 other platforms each). Tedious but a one-time job.

The PMS shortcut

If you use a property management system like OwnerRez, Hostfully, Lodgify, or Streamline, the PMS becomes the master calendar. Bookings flow into the PMS, the PMS pushes blocks out to every platform, and you only have to set up sync once per platform instead of N to N.

This is why most professional operators use a PMS. The double booking risk goes from "real and ongoing" to "almost zero."

How metasearch fits in

Metasearch engines like AllRoost use the same iCal feeds to know when your property is available. We never publish bookings of our own; we just read your blocked dates so we can tell guests "this property is available for those nights."

When you list with us, we ask for your direct booking URL plus the iCal feed for the calendar that drives that URL. Most hosts paste the same iCal URL they exported from their PMS or their direct booking site.

The iCal feed never tells us anything about pricing or who booked what. It only contains blocked date ranges. We have no access to your guest list, your revenue, or anything else.

Common problems and fixes

Bookings appearing twice in your calendar. This means two of your platforms are both showing the same blocked range. Usually fine. The platform you booked on shows the booking with details; other platforms show it as a generic block.

Bookings not syncing. Check the URL. Some platforms expire the URL after a certain time or after settings changes. Re-export and re-paste.

Sync delay caused a near-miss double booking. Set your minimum advance booking notice to 1 day on every platform. This eliminates the gap.

iCal URL leaked or visible in a screenshot. Anyone with the URL can read your calendar (no edit access). Re-export from the platform to invalidate the old URL and replace it.
